Flavia’s Personal Training Terms & Conditions

These terms and conditions apply to membership and services offered. Instructions by a client to commence personal training will constitute acceptance of these terms and conditions. Please read through the information carefully, paying particular attention to liability, payments, cancellations, and session policies. This does not affect your statutory rights.

I will use my skills and knowledge to design a safe, personalised programme of exercise, taking into account your goals, fitness level, and preferences. I will provide coaching, supervision, advice, and support to help you achieve your goals. All client information will be kept strictly private and confidential. If further medical information is required from a practitioner, the client must provide it.

Clients’ Obligations

Both client and trainer must commit 100% to the programme to achieve results.

  • Arrive on time for each session so a full session can be achieved.

  • Wear appropriate clothing and footwear that provides adequate support.

Personal Training Terms & Conditions

1. Health Screening & Signing Up

  • All clients must complete a PAR-Q before commencing any exercise programme.

  • A medical clearance letter from your GP may be required; please note that GPs may charge for providing this.

  • I cannot be held liable for undeclared or unknown medical conditions.

  • Proof of address and photo ID must be provided to sign up.

2. Payment Terms

  • All services are paid monthly and on a specific agreed date.

  • Payments are non-refundable, except in specific cancellation situations (see below).

  • Repeated missed or late payments without notice may result in membership cancellation. The first missed or late payment will require resolution as soon as possible.

3. Scheduling & Carry-Over of Sessions

  • Clients are allocated a consistent weekly day and time slot, which is encouraged to be maintained wherever possible.

  • Life happens! If a session cannot be fitted into your usual weekly slot, you may carry over one session within a two-month period.

  • Simple moves of a session within the same week do not count as a carry-over.

  • Carry-over sessions are subject to availability; I will do my best to schedule them in a time that works for both parties.

4. Holiday Entitlement & Trainer Availability

  • To maintain my own health, well-being, and ability to deliver high-quality coaching, I take planned holidays and occasional periods of unavailability.

  • Clients will always be given reasonable notice of planned holidays.

  • Sessions affected by holidays are not lost. They will be added to the end of your membership programme or fitted in when available.

  • Payments continue as normal during holiday periods, as agreed when training with me.

  • Alternative arrangements for long-term clients may be agreed at my discretion but are not guaranteed and depend on availability.

5. Membership Cancellation

  • Clients may cancel their membership once goals are achieved or they choose to end coaching. A minimum of one month’s notice is required before the next scheduled payment date.

  • Unused regular scheduled sessions during the notice period must be used within that period.

  • Any holiday sessions added to the end of the membership are not included in the notice period and will be scheduled after the regular programme ends.

  • Cancelling payments, membership without notice, or missing multiple payments will result in suspension of training:

    • Training cannot resume for at least 6 months.

    • Unused sessions will be forfeited.

    • No refunds will be issued for unused sessions.

  • If I must cancel a membership due to circumstances on my side, a pro-rata refund will be issued for remaining unused weeks.
